AP Automation – Overview

Overview

Accounts Payable Automation (AP Automation) is the process of handling accounts payable digitally. Manual processes are removed in place of automation, streamlining the way you process your invoices. This removes the risk of human error and makes everything more efficient.

Documents can be manually or automatically uploaded to WinMan where they are digitally read, the information extracted and verified, and invoices automatically created with little or no human intervention.

Uploading documents

You can upload documents either by sending them as an attachment on an email to the specified dedicated address or uploading using the upload panel in the module.

Document Specification

  • supported file formats are PDF, PNG, JPEGTIFFXLSX, and DOCX.
  • documents of maximum size 40 MB altogether can be sent in one action
  • size of a single document may not exceed 13 MB
  • one page may contain only one document (i.e. two invoices on one page cannot be extracted separately)

Document Recommendations

  • image resolution should be at least 150 DPI in case of scans/photos
  • minimum font size on a document should be 6pt
  • documents should be in A4 or Letter format (small-size documents like receipts should be scanned on top of a blank A4 page)
  • scans should not have extremely large dimensions, ideally no more than 3000 pixels on each side

Email

The dedicated email address is displayed within the module for that particular queue. You can send invoice documents to process by sending the documents as attachments to an email. You can forward an existing email or use an email rule to automatically forward message from your own inboxes to the dedicated address. The documents will be processed within a minute or two.

Uploader

The uploader control within the module allows you to drag and drop or select multiple documents to upload from your computer. The documents will be processed within a minute or two.
