Create Sales Orders

Adding a Sales Order header

  1. Navigate to ‘Sales Orders & Quotes’
  2. Using the Actions ‘Add Sales Order’ (see plus symbol and Action menu top right of screen)
  3. This begins the process of creating a Sales Order header, Sales Items are added after the Sales Order header is created.
  4. Leave the Sales Order Type as ‘Order’.
  5. It’s mandatory to add a customer (from customer records) to apply the order to.
  6. It is also mandatory to have a Sales Order Prefix, this will have a default value populated, ie. ‘SO’ (The Sales Order Prefixes are defined in a separate program).
  7. If the subject is set to Automatic – ‘New Order for Customer’ will be populated, you can type a subject of your choice and modify it later.
  8. Customer Order No. is a field to type the reference given to you by your customer, this may be a PO number. The default value is ‘Verbal’. The field can be modified later.
  9. Click Save, bottom left of the New Order screen.

Adding Lines to an Order

  1. With the header created, the main details of the order are visible on the screen.
  2. Use the Line actions in the items section to add Sales Order item lines.
  3. After adding the item the next screen will allow you to type a product item name.
  4. After the product is selected, the screen will populate with details from the product record.
  5. The stock status shows on the right hand side, notifying you the quantity of the product in stock and how much is available.
  6. The fields on the left hand side, populated from the product record, are editable.
  7. The quantity should be input that is required for the order, and the price sense checked.
  8. If the box ‘Generate back-to-back MO’ is checked, a manufacturing order will be created regardless of how much of the product is in stock.
  9. Clicking Save, at the bottom of the screen, will return you to the sales order header, Save and Continue will directly take you back to a new sales order item input screen. There is also the option to cancel and return to the sales order header, without saving the line item.
  10. Firm the sales order using the function with the Action menu
  11. After adding all lines to the order, it can be Printed and/or emailed.

Existing Orders

  1. Navigate to the Sales Order Landing Page.
  2. Search for an existing order or select an order from the Landing Page.
  3. Firm order lines can be amended or cancelled.
